Before you start
- A Pro or Enterprise plan.
- The Edit Sources permission on the knowledge base. Owners and admins always have it. See Roles & Permissions.
- A Google account that can open the content.
Set up
Add the source
Open the knowledge base, go to Sources → Add source, pick Google Drive and click Continue. Enter a Display name.
Connect your account
On Connection Settings, click Connect Google Drive and allow read access. Then click Next: Select Folders & Files.
Pick what to index
Browse or search your Drive, or paste a Drive link or ID. Click Include on each folder or file you want. Click Exclude on a subfolder or file inside an included folder to leave it out.
Change what is indexed
Open the source and use its Drive contents tab:- Add files or folders — search, or paste a Drive link or ID. Up to 25 at a time and 500 per source. An item the account cannot open is refused.
- Exclude — leave out a folder or file inside what you included. An excluded folder is not read at all.
- The remove button on an item stops indexing it. Its documents are deleted at the next sync.
What gets indexed
| File | How it is read |
|---|---|
| Google Docs | Exported with their headings |
| Google Sheets | Every tab, as a table |
| Google Slides | Slide by slide, with each slide’s title as a heading |
PDF, Word (.docx), Excel (.xlsx .xlsm), CSV, HTML, Markdown, plain text | Downloaded and read |
- Each file becomes one document, linked to the file in Drive and titled with its name. Subfolders are included.
- Other file types (images, video, Forms…) and files in the trash are skipped.
- Files over 32 MB are skipped, and so are Google Docs over Google’s 10 MB export limit.
Sync
Google Drive syncs every 10 minutes. Unchanged files are not downloaded again. Sync Now on the source page runs a sync at once.Other ways to connect
Under Advanced on Connection Settings you can connect without Connect Google Drive:| Field | What it is for |
|---|---|
| Service account JSON | A service account key. Share the folders with the key’s client_email, or set Impersonate user. |
| Impersonate user | The Workspace account the service account acts as. Needs domain-wide delegation. |
| Shared drive ID | Set this when the content is in a shared drive rather than My Drive. |
| Folder | A folder ID or link to index. Empty indexes the whole drive. |
| OAuth refresh token, OAuth client ID, OAuth client secret | A Google grant you created yourself. |
| Access token | Expires in an hour. For a quick test only. |
Troubleshooting
- “Google did not grant read access to Drive” — connect again and leave the Drive permission ticked on Google’s consent screen.
- Sync fails with “contains no files” — the folder is not shared with the account Kelu uses. With a service account, share it with the key’s
client_emailor set Impersonate user. For a shared drive, set Shared drive ID. - “Not indexed: N entries” — click that line under Sync history to see each file and why.
- More documents than expected — nothing is included, so the whole drive is indexed. Add a folder under Drive contents.
